Capturing receipts & bills

Photograph a receipt or forward a bill by email, and have it filed and posted for you.

On this page

Not every cost arrives as an e-invoice. Petrol, parking, a supplier who still emails PDFs — ByteBill takes those too.

Two ways in

Photograph it. Use the capture action in the app to take a picture of a receipt, or upload a file you already have.

Email it. Forward the supplier's email to your ByteBill email address and the attachment is picked up automatically. This is the one to use for suppliers who send PDF invoices — you never have to open the app at all.

Either way the document is read, archived, and turned into a draft voucher with the supplier, date, amount and VAT already filled in. Check it and confirm.

Receipt or bill — the distinction that matters

When the document is captured you tag it as one of two things, and they behave differently:

Tag Meaning How it posts Shows as
Receipt Already paid Expense against Bank Paid — not in what you owe
Bill Not yet paid Expense against Accounts payable Unpaid — counts in what you owe

Get this right and your "You owe" total stays honest. Tag a paid petrol receipt as a bill and ByteBill will think you still owe the petrol station.

Where it ends up

Captured documents get an index row just like PEPPOL invoices, so they show up in Received alongside everything else, with a badge showing they were captured or emailed in rather than received over the network. They land in a folder under the supplier the document was read as — or under MISC if the supplier couldn't be determined.

The original file is archived and stays retrievable. For a photographed receipt or a supplier PDF, ByteBill keeps the original rather than regenerating it — what you were given is what's kept.

If the reading is wrong

The supplier, date and amount are read automatically, and automatic reading is not perfect. Everything is editable on the draft before you confirm it. Correct the field and post.
